A PDF can become too large because of high-resolution scans, photographs, embedded fonts, or pages exported with print-quality settings. The right compression approach depends on whether the document is meant for a screen, an online form, email, or professional printing.
Check the upload limit first
Find the maximum size accepted by the email provider, application portal, or document system. This gives you a clear target. A 24 MB document may only need to reach 10 MB, so extreme compression would be unnecessary.
Choose quality for the destination
For reading on screens, balanced compression is usually the best starting point. It reduces image resolution and removes unnecessary data while keeping text clear. Smallest compression is useful for strict portals or slow connections. Print quality should be kept when the recipient needs to produce a physical copy.
You can begin with the Compress PDF tool and compare the downloaded result with the original.
Scanned documents need special attention
Scans often contain a full-page image for every page. Color scanning at a very high resolution creates much larger files than ordinary text PDFs. If possible, scan text documents in grayscale at a sensible resolution and enable optical character recognition so the text remains searchable.
Inspect small text and signatures
After compression, zoom in on fine print, identification numbers, signatures, stamps, charts, and thin lines. These areas show quality loss before large headings do. If any important detail becomes unclear, use a higher-quality setting.
Remove pages you do not need
Compression cannot know whether blank pages, duplicate scans, or old appendices are required. Removing unnecessary pages before compression lowers the file size without affecting the remaining content.
Keep privacy in mind
Documents may contain personal, financial, or business information. Use a service with encrypted transfer and automatic file deletion. Compress.pk removes source files after processing and expires compressed downloads automatically.
PDF compression checklist
- Keep the original document.
- Confirm the destination size limit.
- Start with Balanced compression.
- Check every page after downloading.
- Use a stronger setting only if the file is still too large.
